GENERAL TERMS AND CONDITIONS FOR SPANISH COURSES FOR FOREIGNERS AT THE LANGUAGE OF THE UNIVERSITY OF VALLADOLID.
1.-ENROLMENT CONDITIONS
1.1.- Enrollment Confirmation
Formalizing a student’s enrollment in any Spanish course for foreigners offered by the UVa Language and Training Center, part of the University of Valladolid Foundation, implies agreement with these general contracting conditions and the data protection policy.
1.2.- Service Agreement
The training services contract is established between the University of Valladolid Foundation and the student (or agency, if applicable) upon completion of the enrollment process and assignment of an enrollment number.
1.3.- Eligibility Requirements
Enrollment is subject to compliance with regulations and legally required conditions, within the deadlines set for each course, and generally to meeting academic prerequisites. Students must be individuals aged 18 or older. Occasionally, 17-year-olds may be admitted if accompanied by a legal guardian responsible for them throughout their stay. All students must take an online level test at the start of the course.
1.4.- Enrollment Fees
The enrollment fee for each course modality is set by official approved rates, published on the UVa Language and Training Center website. [These prices are updated and published annually.]. The fee includes:
File management and reservation rights.
- Online level test.
- Registration and enrollment in the selected course.
- Accommodation search and assignment service, if applicable.
- University student ID for access to certain university facilities.
- Final exam and diploma certified by the University of Valladolid.
1.5.- Payment Terms
Payments follow the terms outlined in the enrollment process for each course modality. The UVa Language and Training Center requires payment of the corresponding fees prior to finalizing enrollment or issuing certificates.
Students may pay file management/reservation fees separately or the full amount. In all cases, the total fee must be paid at least 14 calendar days before the course starts.
If a student has not paid the full amount (including accommodation/insurance, if applicable) after the course begins, access to the Center, classes, and academic certification may be denied.
1.6.- Group Sizes
Places are limited. Groups generally have a minimum of 6 and maximum of 16 students, though this may vary by course modality and group characteristics. The Center Director reserves the right to open, modify, or cancel courses/activities if minimum enrollment is not met, with full refunds issued.
1.7.- Schedule Changes
The UVa Language and Training Center may modify the academic calendar, classrooms, or teachers to improve service delivery. Dates coinciding with local or national holidays are non-teaching days, and affected classes are not recoverable.
1.8.- Course Changes
Course changes are generally not allowed. The Center will review any requests based on specific circumstances, motivations, and impacts.
1.9.- Attendance Certificates
Students receive an attendance and/or progress certificate at course end, provided they attend at least 80% of classes to take the final exam.
1.10.- Medical Insurance
All enrolled students must have medical insurance valid in Spain. EU students can obtain an E111 form from their home country. Insurance can also be purchased through the Center (national coverage for medical consultations and emergency hospitalizations), with prices listed in official rates.
2.- CANCELLATON AND WITHDRAWAL
2.1.- Cancellation Effects
Cancellation and withdrawal from enrollment terminate the effects of the enrollment, resulting in the loss of student status and evaluation rights. A student’s enrollment may be canceled at their own request or at the discretion of the UVa Language and Training Center.
2.2.- Student-Initiated Cancellation
Cancellation requested by the student will follow the returns policy outlined in section 3 of these General Contracting Conditions.
2.3.- Center-Initiated Cancellation

- Not paying the full or course fee (or any part of it) by the payment deadlines.
- Not meeting the entry requirements or submitting required documents on time.
- Course cancellation decided by the Center Director or due to reasons caused by the Center.
- Breaking disciplinary rules (no refund in this case).
3. REFUND POLICY AND RIGHT OF WITHDRAWAL
3.1. Refund Policy
Students who wish to request a refund must send a written application to espanol@centroidiomas.uva.es.
Refunds will only be considered for duly justified reasons and must be supported by valid documentation. Each request will be carefully reviewed by the Centre’s Management.
The approval of any refund is subject to the express authorization of the Centre’s Management. Before approving a refund, the Centre will offer the student alternative options, such as transferring to another group, whenever academic and administrative conditions permit, to encourage course continuity.
3.2. Conditions of the Refund Policy
– Administrative and reservation fees
- A 100% refund will be granted if the course or level is cancelled by the Language and Training Centre of the University of Valladolid (UVa), or if the student cancels more than 21 days before the course start date. In all cases, an administrative handling fee equal to 20% of the corresponding amount will be retained.
- A 50% refund will be granted if the student cancels within 21 days before the course start date.
- The amounts for administrative and reservation fees will follow the official price list. Visa denials are not considered a valid reason for a refund.
– Tuition fees
- A 100% refund will be granted if cancellation is communicated 21 days or more before the course start date (the Centre will retain 20% of the administrative and reservation fee).
- A 50% refund will be granted if cancellation is communicated less than 21 days before the start of the course.
- No refunds will be made once the course has started, except in duly justified exceptional cases individually assessed by the Centre.
– Accommodation and insurance
- A 100% refund will be granted if cancellation is communicated 14 days or more before the accommodation start date or before insurance coverage begins.
- If cancellation is made within 14 days before the start of the course or stay, the Centre will retain an amount equal to one week of accommodation. For insurance, the full amount will be refunded provided that the policy has not yet taken effect.
- No refunds will be issued for accommodation or insurance after these services have started or without prior notice of cancellation, except in duly justified exceptional cases individually assessed by the Centre.
- In homestay or apartment accommodation, students are responsible for any damage they cause (excluding normal wear and tear).
- The price of homestay accommodation will not be reduced for missed nights or meals due to trips, holidays, or personal activities during the stay.
3.3. Right of Withdrawal
In accordance with Articles 68.2 and subsequent of Royal Legislative Decree 1/2007, of 16 November, approving the revised text of the Spanish Consumer Protection Act and related legislation, students may exercise their right of withdrawal within 14 calendar days from the date of signing the enrolment form, without having to provide any reason.
To exercise this right, students must send a written request to espanol@centroidiomas.uva.es, clearly stating their wish to withdraw and including their enrolment number.
Withdrawal communicated within the 14-day period will entitle the student to a full refund of the enrolment fee.
By accepting these General Terms and Conditions, the student acknowledges and agrees that the training services contracted may begin before the end of the withdrawal period. Once the course has officially started, the student waives the right of withdrawal, and the refund policy described above will apply.
4.-DATA PROTECTION
During the enrolment process and course management, the Language and Training Centre of the University of Valladolid, managed through the Fundación Universidad de Valladolid, will process personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and Council (General Data Protection Regulation, GDPR) and Spanish Organic Law 3/2018 of 5 December on Data Protection and Digital Rights. Purpose of Processing:
- To manage enrolment and participation in the requested course or training program.
- To notify students of their academic results through the website of the Language and Training Centre of the UVa.
- To send electronic communications about other activities and training programs offered by the Fundación.
Legal Basis:
The data processing is based on Article 6.1 (a) and (b) of the GDPR — the existence of a contractual or pre-contractual relationship (course enrolment and management) and the student’s consent (for electronic communications from the Fundación).
Data Retention:
Personal data will be stored for as long as necessary to fulfil the purpose for which it was collected and to determine any possible legal liabilities arising from its processing.
Rights:
Students may exercise their rights of access, rectification, erasure, restriction, or objection by verifying their identity and submitting a written request to dpo@fundacion.uva.es. They may also lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos) if they believe their rights have been violated.

5.- OTHER INFORMATION
a) Medical insurance
All enrolled students must have medical insurance with coverage in Spain. Students from European Union countries can apply for the European Health Insurance Card (EHIC) in their home country to receive medical care in Spain. Students may also take out a health insurance policy through the Language Centre, which provides nationwide coverage for medical consultations and emergency hospital care.
The insurance price is specified in the official dates and fees sheet.
b) Placement test
All students must complete an online placement test before the start of the course to determine their level.
c) Certificate of attendance
Each student will receive a certificate of attendance and/or achievement, as applicable, at the end of the course. To be eligible for the final exam, students must have attended at least 80% of classes.
d) Non-teaching days
Dates that coincide with local or national holidays are considered non-teaching days. Classes that fall on these public holidays will not be rescheduled or refunded.
e) Age
The minimum age is 18. Students aged 17 may occasionally be accepted, provided they are accompanied by a legal guardian who is responsible for them for the entire duration of their stay.
